Records Assistant - Onsite in Minneapolis, MN

THE RIGHT STAFF is partnering with a respected Minneapolis law firm seeking a proactive professional to support their Information Governance & Records team. If you enjoy maintaining orderly systems, ensuring accuracy, and collaborating with attorneys and staff, this role could be a great next step.
Essential Job Duties:
• Manage physical and electronic client/matter files throughout their lifecycle.
• Ensure compliance with retention schedules, legal holds, and destruction policies.
• Update disposition steps, matter metadata, and file indexes in records software.
• Support file disposition by researching client contacts, inventorying files, and reviewing documents.
• Retrieve and distribute files from on site and off site storage; coordinate storage inventories, audits, and destruction approvals.
• Assist with Ethical Walls, Litigation Holds, and HIPAA restrictions.
• Scan and profile client consent documents; maintain transfer logs and spreadsheets.
• Coordinate client file returns and assist with file transfers during attorney arrivals/departures.
• Maintain an organized Records Center and support system upgrades, data cleanup, and migrations.
• Assist the Records Manager and participate in special projects as needed.
Minimum Requirements:
• Associate or Bachelor's degree.
• Administrative support experience; strong computer skills (MS Office).
• Excellent grammar, proofreading, and attention to detail.
• Highly organized, able to manage multiple tasks, deadlines, and interruptions.
• Strong interpersonal and communication skills; professional and dependable.
• Records management or legal office experience (preferred).
• Familiarity with iManage and InTapp (preferred).
• Ability to work in a fast paced environment with occasional hours beyond 37.5
per week.
Position Benefits, Pay, and Schedule:
• Salary range $54, 000-$72, 000 , depending on experience.
• Full benefits: health insurance, paid parental leave, disability and life coverage, PTO, 401(k), and voluntary benefits.
• Full time onsite role in downtown Minneapolis.
• Occasional travel to off site storage; ability to lift 40+ pounds.
