THE RIGHT STAFF is partnering with a reputable Minneapolis law firm to add a Legal Administrative Assistant to their Patent Intellectual Property Department. Essential Job Duties:
• Coordinate day-to-day administrative functions, including managing calendars, arranging meetings, organizing travel details, and preparing routine communications.
• Draft, revise, and finalize legal correspondence and documents while ensuring accuracy and consistency.
• Maintain well-organized electronic client files, including timely uploading, categorizing, and managing emails and attachments.
• Assist with billing-related tasks such as invoice processing, expense tracking, and maintaining supporting documentation.
• Initiate and process conflict checks, engagement letters, and new client onboarding materials with precision.
• Track and reconcile receipts, reimbursements, and other attorney-related expenses.
• Monitor attorney licensing requirements, professional memberships, and CLE reporting to ensure compliance.
• Support attorneys and paralegals with ongoing administrative needs to keep cases and projects on schedule.
Minimum Requirements:
• At least 3 years of experience as a legal administrative assistant in a law firm or corporate legal setting.
• Prior experience supporting patent attorneys, patent agents, or IP-focused paralegals HIGHLY preferred.
• Familiarity with filing practices before the U.S. Patent and Trademark Office HIGHLY preferred.
• Experience using iManage, InTapp, or similar legal support technologies.
• Strong written and verbal communication abilities, including advanced proofreading and grammar skills.
• Demonstrated ability to remain composed and effective during shifting priorities and deadline-driven situations.
• Proficiency with Microsoft Office and comfort adapting to new software tools.
Position Benefits, Pay, and Schedule:
• Direct-hire opportunity with competitive salary and full benefits, including medical, paid parental leave, disability and life insurance, 401(k), paid time off, and additional voluntary benefits.
• Full-time onsite/hybrid position in downtown Minneapolis with a supportive and team-oriented environment (4 days onsite, 1 day remote after training)
• Compensation ranges from $48, 000 to $91, 000 annually, depending on experience and level of expertise.
• Standard work hours are Monday-Friday, 8:00 AM to 4:30 PM.
